Position: Office Administrator at a Child Welfare Office

Job Summary: We are in search of a meticulous and dedicated Office Administrator to join our child welfare office in Ontario. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office while adhering to the Child Youth and Family Services Act of Ontario. This role involves managing extensive documentation, complying with regulatory requirements, and utilizing Microsoft 365 tools for office efficiency.

Main Responsibilities:

  • Regulatory Compliance:
    • Ensure all office practices align with the Child Youth and Family Services Act of Ontario and related regulations.
    • Stay updated on child welfare laws to guarantee continuous compliance.
  • Documentation Management:
    • Oversee accurate recording and filing of sensitive client data.
    • Maintain proper documentation of client interactions and case activities.
    • Manage electronic and physical records while upholding confidentiality laws.
    • Assist in enhancing the office filing system for improved efficiency.
  • Administrative Assistance:
    • Provide general admin support like answering calls, scheduling, and organizing meetings.
    • Coordinate with various departments to streamline office operations.
    • Handle correspondence, reports, and presentations.
  • Financial Tasks:
    • Support in budget preparation and expense monitoring.
    • Process invoices, track payments, and manage petty cash.
    • Maintain accurate financial records.
  • Office Management:
    • Manage office supplies and orders.
    • Oversee office maintenance and liaise with vendors for repairs.
    • Ensure a safe and organized work environment.
  • Client Interaction:
    • Greet and assist clients and visitors professionally.
    • Schedule appointments and manage client intake.
  • Team Collaboration:
    • Work closely with social workers and case managers to support their admin requirements.
    • Participate in team meetings and continuous improvement efforts.
  • Confidentiality:
    • Maintain strict confidentiality of client information.
    • Ensure compliance with data protection policies.
  • Training and Development:
    • Stay updated on child welfare practices and office admin techniques.
    • Assist in training new staff on office procedures and compliance.

Required Skills:

  • Regulatory Knowledge:
    • Understanding of the Child Youth and Family Services Act of Ontario.

    • High accuracy in documentation and data management.

Qualifications:

  • Degree or diploma in office administration or related field.
  • Prior admin experience, preferably in child welfare or social services.
  • Knowledge of Child Youth and Family Services Act of Ontario is a plus.
  • Proficiency in Microsoft 365 tools.
