The role of Executive Assistant to the Vice President is pivotal in providing high-level administrative support to the VP, aligning with divisional and organizational objectives while upholding our core values.

Your responsibilities:

  • Manage executive calendars, prioritize meetings, and optimize the VP's schedule efficiently.
  • Coordinate with other executive assistants for seamless communication and scheduling.
  • Monitor emails and voicemails, ensuring timely responses when required.
  • Prepare meeting materials, organize appointments, and facilitate internal/external events.
  • Assist in report preparation, document assembly, and other administrative tasks.
  • Interact with staff and visitors, handle inquiries, and manage executive correspondence.
  • Coordinate travel arrangements, including flights, accommodations, and meeting schedules.
  • Handle budget monitoring, expense processing, and departmental administrative tasks.
  • Provide support to the executive assistant team and participate in training and coverage.
  • Get guidance from senior executive assistant when needed and attend divisional business retreats annually.

Your qualifications:

  • Completion of a management or related certificate.
  • Minimum of 2 years experience as a senior executive assistant.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication, organization, and interpersonal skills.
  • Ability to exercise discretion, prioritize tasks, and work independently.
  • Detail-oriented, team player, and customer service-oriented mindset.
