Job Description


The position available is for an Administrative Assistant to handle various office tasks to support company operations. Responsibilities include managing office activities, welcoming visitors, answering calls, and scheduling appointments. The ideal candidate should maintain a positive and professional image of the organization. Proficiency in both French and English (verbal and written) is required.

Main Responsibilities:

  • Warmly greet and assist guests
  • Respond to inquiries via phone, email, and in-person from clients and business partners
  • Handle incoming and outgoing mail, distribute correspondence, and direct queries to appropriate departments
  • Provide accurate information to visitors and callers
  • Support various business areas such as Sales, Service, and Administration
  • Maintain office records, coordinate files, and manage office expenses
  • Perform clerical duties like filing, copying, and scanning documents
  • Assist with translations, memos distribution, and report data compilation
  • Keep reception area tidy and assist with company events
  • Manage office supplies, inventory, and interactions with cleaning staff
  • Maintain office security and participate in office procedures
  • Contribute as a member of the Joint Health and Safety Committee

Required Skills and Qualifications:

  • Excellent telephone and interpersonal communication skills
  • Strong written and verbal communication with executives and staff
  • Minimum one year of experience in administrative or customer service role
  • Proficiency in French and English (written and verbal)
  • High School Diploma or equivalent
  • Customer service-oriented mindset
  • Proficiency in Microsoft Office applications
  • Good typing skills and knowledge of general office procedures
  • Ability to maintain filing systems and handle confidential data
  • Keen attention to detail and records management
  • Professional appearance and demeanor
