Who you are:

The Administrative & Office Support Coordinator plays a crucial role in providing organizational and clerical support, serving as a key liaison for employees and vendors.

What you'll do:

This position is responsible for ensuring the smooth operation of daily procedures.

How you'll make an impact

  • Warmly greet and assist visitors upon their arrival at the office.
  • Maintain a tidy and inviting reception area.
  • Ensure proper utilization of sign-in security software by all visitors.
  • Issue visitor and temporary passes and maintain the security log.
  • Handle filing, sorting, and distribution of mail and packages.
  • Manage office supplies inventory and place orders as needed.
  • Oversee outgoing mail, shipping, and receiving processes.
  • Organize company documents using updated filing systems.
  • Support the Facilities Team in the implementation of Health and Safety policies.
  • Provide administrative support to uphold office efficiency.

What you'll bring to the role

  • Experience in reception/office administration spanning 1-3 years.
  • Demonstrated ability to maintain confidentiality when handling sensitive information.
  • Exceptional organizational skills with the capacity to manage multiple tasks concurrently.
  • Ability to thrive under pressure and adapt to evolving priorities and deadlines.
  • Outstanding verbal and written communication skills.
  • Strong aptitude for building interpersonal relationships.
  • High precision and keen attention to detail.
  • Team player with the capability to engage with individuals at all organizational levels.
  • Proficiency in using software programs, including Google Suite for business (Sheets, Docs, Slides).
  • Entrepreneurial mindset and comfort in a flat organizational structure.
