Join our dynamic Start-up company, Shining CompassĀ®, specializing in Business Consulting and coaching. We're currently looking for a meticulous and well-organized Administrative Assistant (Independent Contractor) to support our team on a 3-month contract starting July 22nd. The ideal candidate must possess exceptional English communication skills, superb organizational capabilities, and the knack for juggling multiple tasks effortlessly. As an Administrative Assistant, your primary responsibility will be to ensure the seamless functioning of our office located in Burlington or any potential GTA site.

Responsibilities:

  • Warmly greet and assist visitors in a professional manner.
  • Efficiently handle incoming calls and route them to the appropriate personnel.
  • Offer administrative assistance to various departments, including tasks like filing, data entry, and document organization on platforms like Google Drive.
  • Create engaging presentation slides using tools such as Canva and MS Office as needed.
  • Demonstrate effective communication, discretion, and a commitment to upholding confidentiality.
  • Manage office supplies and keep track of inventory levels.
  • Aid in administrative event planning alongside the Director and team.
  • Schedule appointments and manage calendars effectively.
  • Assist in coordinating meetings and on-site business events or trade shows.
  • Handle both incoming and outgoing mail and packages.
  • Execute general clerical tasks such as photocopying, scanning, and faxing.

Experience:

  • Prior experience in an administrative or office support role is highly desirable.
  • Strong attention to detail, proficiency in email correspondence, calendar management, and expense tracking.
  • Self-motivated with an entrepreneurial spirit, displaying initiative and drive to support management.
  • Comfortable working autonomously in ambiguous situations with minimal supervision.
  • Proficiency in Microsoft Office Suite and Google tools like forms, documents, and file management.
  • Familiarity with office equipment such as printers and scanners.
  • Excellent customer service and time management abilities.
  • Outstanding organizational skills with a talent for prioritizing tasks effectively.

Note: This is a freelance contract opportunity with a duration of 3 months, initially requiring 10-15 hours per week with potential for increased hours as the business expands.

Candidates must possess a valid Work Permit, Permanent Residency, or Citizenship to legally work in Ontario, Canada.
